Here's what I tell every client in this situation: how you respond to a negative review matters more than the review itself. Done right, a thoughtful response to a critical review can actually strengthen your reputation. Done wrong, it can make everything worse.

Why Responding Matters

When someone reads a negative review, they're also reading how you handled it. A business that ignores negative reviews signals that it doesn't care about customer feedback. A business that responds defensively signals that it can't handle criticism. A business that responds calmly and professionally signals that it takes its reputation seriously — and that's actually a trust-builder.

The Formula for a Good Response

  • Acknowledge the experience. Don't argue, don't dismiss, don't start with a defense. Start by acknowledging that the person had a frustrating experience.
  • Take appropriate responsibility. If the criticism has merit — own it. If there's a misunderstanding — clarify it respectfully.
  • Move the conversation offline. Invite them to contact you directly to resolve the issue.
  • Keep it short. Short, professional, and human is better than long, defensive, and legalistic.

What Not to Do

  • Don't respond in anger. Step away, take a breath, come back to it.
  • Don't attack the reviewer. Even if the review is completely unfair, publicly calling someone a liar looks terrible to everyone watching.
  • Don't ignore it. A negative review with no response is a missed opportunity.
